Cancellation Policy:

Please read through our cancellation policy and ensure that you agree to the terms and conditions before accepting the regular slot that has been offered to you.  

One week’s notice is required should you need to miss a lesson. We understand that it is not always possible to give the required notice due to unforeseen circumstances. If you need to cancel within the week, your tutor may be able to offer an alternative slot if they have one available. If not, your lesson will still need to be paid for. This policy is in place to ensure that the running costs for the centre 
can be met and we can continue to offer the best service possible. 

During the school summer holidays, please ensure that no more than three lessons are missed. Any additional missed lessons will need to be paid for to maintain your regular slot. Please ensure that you are happy with this before accepting a regular slot.

There is no long-term commitment requirement for your allocated a regular weekly or fortnightly slot, and all that is needed is one week’s notice for terminating your lessons.

The centre runs throughout the year including school holidays and bank holidays. Each tutor’s holidays will vary and they will notify you of any dates that lessons will not be running.

Payment Policy:

To ensure a smooth and transparent relationship, we would like to inform you about our payment policy. Please take a moment to read the following important information:

Payment Terms: All payments for services rendered are preferred on the day, when this is not possible then please make the payment within 5 business days of the lesson date. 
We accept the following payment methods, cash payment, card payment, bank transfers or standing orders.

Outstanding Balances: In the event that any outstanding balance remains unpaid beyond the due date, we will send you a reminder notice and the balance will need to be settled within 
14 days of the reminder. We hope you understand that this policy is only in place so we can meet all the running costs of the centre and our tutors can devote all their time to providing the best service possible to all of the students here at Encore.

Please be aware that if you decide to leave your lessons here at Encore, any outstanding balance needs to be paid by the end of the reminder period stated above, in the event that you fail to do so we reserve the right to pursue the matter through the Small Claims Court. This may result in additional costs to you, including court fees.

At Encore Music and Wellness Centre we respect your privacy and are committed to protecting your personal data. This privacy policy explains exactly what information we collect, why we collect it, and how we keep it safe when you or your child uses our services.

As a small private music tuition and wellness business, we believe in collecting only the absolute minimum amount of personal data required to keep our students safe.

We operate a strict minimal-data policy. The only personal information we collect and keep on record is obtained via our Emergency Contact Form.

This form asks exclusively for:

 

The name of the student.

The name of the parent or guardian (if applicable).

An emergency contact telephone number.

 

What we DO NOT collect: We respect your digital privacy. Therefore, we do not ask for, collect, or store:

 

Email addresses.

Home addresses.

Marketing or profiling data.

 

2. How We Collect Your Data

Your data is collected directly from you when you fill out our physical Emergency Contact Form prior to beginning your music tuition or wellness sessions with us.

 

3. Why We Collect This Data (Our Legal Basis)

Under the UK General Data Protection Regulation (UK GDPR), we must have a lawful basis for processing your data. We collect your emergency contact details solely for the following reasons:

Vital Interests / Legitimate Interests: To ensure the health, safety, and well-being of our students while they are on our premises in Hooton, Ellesmere Port. We need to be able to contact a parent, guardian, or designated emergency contact immediately in the unlikely event of an accident, illness, or emergency during a lesson or session.

 

4. How We Store and Protect Your Data

The safety of your personal information is extremely important to us.

Your emergency contact details are kept strictly confidential and are stored securely.

This information is only accessible to authorized instructors and staff at Encore Music and Wellness Centre who may need to use it in an emergency.

 

5. Data Sharing

We never sell, rent, or trade your personal information to third parties. We will only ever share your emergency contact information if it is absolutely necessary to do so to protect the vital interests of the student (for example, providing a name and contact number to paramedics or medical professionals in the event of a severe medical emergency).

 

6. Data Retention (How Long We Keep Your Data)

We will only hold your emergency contact details for as long as you or your child are actively attending lessons or sessions at Encore Music and Wellness Centre. If you decide to cease lessons with us, your emergency contact form will be securely destroyed and permanently deleted from our records.

 

7. Your Data Protection Rights

Under UK data protection law, you have rights including:

Your right of access: You have the right to ask us for copies of your personal information.

Your right to rectification: You have the right to ask us to rectify personal information you think is inaccurate or incomplete (e.g., if you change your phone number).
